TRAINING ANALYSIS

5.1 Strengths and weaknesses

Training in Hawk Soon Hin Sdn Bhd will be treated some strengths between. Some of the company will not hire disabled employee but our company does. Furthermore, the company also provide some benefits to the disabled employee like the employee will have the benefit for getting a free ride to the restoran nearby for their lunch during rest time. The second strength was the working environment is really good and suitable for employees to work at. The utilities in company were sufficient. There is no restricting for employee to converse as long as the job that assigns to do must completed. Other than that, the company also will provided the lucky draw event during at the end of the year so that the employee will feel happy with their work and the main reason that the company made this event is to make employee feel that while working they also can get free gift and also enjoy the facilities the company provided. In the company, for those department which had hit the target for the year also will get extra bonus for the year, while for those department that doesn’t hit the target also no need to be unhappy because they also will get the bonuses but will be slightly lower than those department that had hitting the target.  
There weren’t many short comings since as an intern I was given a lot of support by my supervisor and other fellow staff. There is a major problem that I encountered in the company. It is the problem of lunch time hour. Suppose the lunch hour is happening in rotation between the staffs, but this company is having their lunch time at the same time, and because of nobody willing to be tolerant to each other’s, therefore, result that all labour worker are not willing to line up for their biometrics thumb print and punch card machine. I as the new comer will be pushed to behind until wasted the 5 minutes of my rest time.
In terms of cultural differences, I must say that nobody should expect it as easy to integrate in a different culture. But the difficulty was not based on the way I was welcomed here, it was that I needed some time to feel comfortable with my new environment.

5.2 Knowledge/skills gained

The first valuable knowledge that I had and understand from the workplace is that the programming skills which I had learn from my supervisor. My supervisor had shown me the software that been used to develop the system and the programming code which will cost almost 20 and more pages with estimation of 100 and more lines for each pages. Those programming codes are learned during in the degree and master session of my supervisor during in the past. He had taught me some of the codes like “php.” which can be used to make the strings of characters into the readable data that wanted to be read by the computer.

Secondly, continuous improvement also had been taught by my supervisor. He also taught me that each people will make mistakes but need to learn from mistakes. By that few words, he had encourage me to continuous improvement and don’t feel demotivated because of a small errors.
     

Next, the spirits of teamwork and this is what I have come across for the 20 weeks of internship. As a member of the organization, I believe teamwork is better and more effective than working individually, because I was able to contribute my ideas and insights in our works.
Other than the knowledge of being proper attitude toward working, I also learn more about how to assign the job to those software. For example, adjusting the system product quantity in the system, calculating the product in the store with an improper situation and came out the report to be printed for to be used in the meeting session. I also had learned of how to handle the transfer of product from other department to the store department. Furthermore, I also had learnt of how to communicate with other region people not only Muslim and Hindu but also Myanmar, Nepal and Indonesia.

5.3 Suitability of placement
From my experience I can wholeheartedly recommend internship programme in Hawk Soon Hin Sdn Bhd to everyone who would like to experience an organization that has in my opinion realized their vision to find the balance between being progressive, able to balance human concerns, technical considerations and nevertheless being highly successful. What you have to bring with you, is the willingness to improve knowledge about the environment, your work experience and you have to be able to work independently, self motivated and you must solve smaller problems on your own. Anyhow, if you’ve got into some serious trouble you will always find somebody assisting you to work it out.  That are some reason that I agree to having training at Hawk Soon Hin Sdn Bhd.

 5.4 Recommendations/Suggestions
Very special thanks to Hawk Soon Hin Sdn Bhd which accept my internship position. The venue of the company is quite far from my home. It takes time around 45 minutes to arrive. But for me is not a problem because I had my friends that are living at nearby. Of course, for those who don’t have friends staying at nearby, they can rent a room or a house to stay for the period. The expenditure over there was low and has a lot of economic shop to spend for your lunch due to internship had only the little allowance. But, most of the company does not have any allowance for the internship student.
Hawk Soon Hin Sdn Bhd considering as a large company and I believe most of the people knows this company as well. The knowledge or skills can be gain in the company was a lot, it just depends on your learning attitude. In this company, they are more emphasize in the product quality and customer service. Customer service was a good experience to be gain because you can learn how to communicate and socialize with different people. It might be useful for your future live.

Other than that, we also can learn about the criteria for selecting the suitable job for ourselves. A suitable job can be effect of your future plan. Learn from the field that you wish to know more and don’t be haggle to learn the extra knowledge. When searching job, apply with full effort to success it. By the way, we must understand the background of the company before we enter to interview. Fully prepared might help you to perform well in the interview conversation.
Furthermore, industrial training is a good activity that every student must conduct, because it let us learn out of the study fields. In this activity, it can let the student think maturely about their future and ready for the challenges in the future.
I’m fully recommending the other student to conduct their internship in Hawk Soon Hin Sdn Bhd. Key note, manager of the company is always welcome the internship student especially IT programming student.





PROJECT 2: MANUAL VS SYSTEM

4.1 Description of project and screenshot
As mentioned, I had been assigned to store department also and when working at the department, I also had been assigned a project which is to calculate the quantity for 60 types of product that had been used in the Tuesday meeting.

After knowing the 60 types of products that need to be calculating, I need to find their location. The store department is large and I had been given certain places to find the 60 types of product to be calculated.

PROJECT 1: 5 STEPS PROCESS

3.1 Description of project and screenshot 
Now, I will discuss about the first project that I had been assigned during my industry training session. The first process is that the call operators will assists any calls from the customers and record down all the product that the customer want to order. The call operators will record down the order manually in which we called as “packing order list”.

After recording down the order, the call operators will then transfer all the recorded information into the system which the system will be used by the entire company. The information will be recorded in Packing Orders.

The next process is my department job where the supervisor of the store department will print out the list of product that had been ordered by the customer. Once we had the list, we are required to find out the location of the product and ensure the quantity is enough to be shipment. If the product is not enough, the quantity of product to be shipment will be reduced.

Then, when the product had been found and the quantity is enough to be shipped, we will transfer the product out from their location and place it on the pallet. Once the product had been arranged well on the pallet, we will wrap it to prevent the product from falling down or get wet.

Once the product had been arranged on the pallet that shows that the product is ready to be shipment. Other than that, some of the company will make order much earlier because of afraid the companies will have not enough of product to supply for them

3.2 Roles and responsibilities

The overall process and operation in the HSH is based on the efficiency concept to achieve the customer’s satisfaction. In this process, service advisor plays an important role. Service advisor is responsible to be in charge on the request from customer and responsible to give customer the best quality service. Service Advisors are encouraged to serve the customer in the quality talk and ensure the customer’s vehicle situation whether any crash or damage product won’t have any defect on it before reach customer destination. The personality of customer must be fully protected by every employee, thus, should keep all the customer information in the system and only authorized person are allow to use the information only. The store supervisor also playing an important role. He need to arrange the job to the store keeper as soon as possible when the new order list had reach. He also must ensure the product that are going to be shipped is correct and no mistake are allowed to occur during the shipment process.

COMPANY INFRASTRUCTURE

2.1 Structure of Department attached to
Working at Hawk Soon Hin Sdn Bhd IT department was the position which I conduct my internship. The job that I was assigned in this department was ad hoc. Data transformation in this department was huge. Everyday, I have to fill those data which is related to the product.

The store department plays an important role for the company because the production department can estimate or calculate the number of product that need to be produced, the budget that need to be used for producing the product which been calculated by the account department and this department is so useful because it manages the entire shipment of products in the company.

Besides that, any problems that occur from the system like system down or error, the staff or colleagues will have to inform to the IT department which is the department that I had been assigned for my industry training. After the complaint received, our department will do our job and take action on the system to find out the problems that had occured and solve it.











As a part of IT and Store department member, we should know more than others about what we are supposed to do during our supervisor is on leave. This is because we should cope with some job that our supervisor is unable to do during on leave period. By having this kind of work attitude, the subordinate can reduce some of their supervisor burden and it also can lighten the job for the supervisor during their return time. That was the reason I learn more in this department and I totally excited doing internship in this department as we will get a lot of new experience.




2.2 Network Infrastructure

A network infrastructure is an important connection of computer systems in the company. The network infrastructure refers as the link of computer to routers, cables, wireless access points, switches and network protocols. The infrastructure also can be connecting by using hardware and software. In Hawk Soon Hin Sdn Bhd, we are using the same system, but internal of the system was different depends on different department. The system of our company named 3-in-1 system. But for the accounts department, they only use UBS accounting system to run their work.

The above hardware was mostly use in our company.  They were the important apparatus that needed by our company. In our company, printer had been divided into few types which is like Figure A1.1 printer for finalizing invoice. It is use for print out the invoice or receipt for customer after payment and it also use to print out the sublet for the sub-contractor. Very soon, our company will have a new printer for print out sublet for the sub-contractor because printing the sublet will causing the other job to be on hold and our company had only one printer that used for printing invoice and receipt only.  
Figure A1.2 is a photocopy and fax machine. . It helps to communicate between supplier and also customer. Normally, any quotation and invoice from sub-contractor or bank slip, we will fax through this machine to get the information. Figure A1.3 was the computer that we daily use to create or record the history of information and it also been used by my supervisor to develop the system using programming software.
Figure A1.4 is significant tools for the IT department. Those tools will be used by my for doing my job daily. Laptop will be used to calculate and store the quantity information of the product in the warehouse. It also will be used by the IT department to adding or changing the information in the system. The others tool like books, ruler with calculator on it and pen is for me to use for record the quantity number of the product and transfer it into the system. These tools also will be used for record the job that I need to do for the whole day or weeks.
While Figure A1.5 is the tool that been used in the store department. This tool is called trolley and it plays an important role because without this tool, the products are unable to be transferred from their location to the pallet. The products are placed at different place and the location of the product is too small for forklift to enter and so the trolley will be used for transfer the location of the product.

2.4 Software
The first important system that we need in our company was the 3-in-1 system. It could help to record a lot of information and history of the customer and other function to use when serving customer. Every department employees had their own ID in this system to sign in. Different department have the different function to use in this system. That is because the need of the personal ID. Example, part assistant had their own function in this system instead of accountant not able to use the function which belong to part assistants. Due to our company is using the system that is connected with headquarters, branches and dealers around Malaysia, we can’t have any internet connection between those system-able computers to avoid being hacked and infected with any virus from internet. If any of the computer get hacked, the whole company’s system will be affected and cause a huge problem begin.
Only the account department’s computer is allowed to connect with internet. Because accountant of the company are using UBS account system to run their work. And the UBS system must be connected with internet for storage or the information.
Other than the department with the connection of internet server or system connection, the technician department also has their own system which is used to record their history of the vehicle that had been serviced.
The communication way between all staff of Hawk Soon Hin Sdn Bhd is by using the E-mail or instant messaging in the system. This system is for all staff to send e-mail to others people and to communicate with each other. Besides that, our branches in Kuala Lumpur will be using the fax machine to fax their order or just calling to our office to make order for the part that they required for. Sometimes, they will put a remark of “urgent” to shows that the part is important and is in a bit haste for receiving the product because of the pressure that are given from the customer.

1.1 Background of Hawk Soon Hin Industries Sdn Bhd


Hawk Soon Hin Sdn Bhd (HSH), established in the year of 1976, which is the only company that is manufacturing automotive filter in Malaysia. HSH is the creation of Mr. Ng who had spent his lifetime and sweat and hardship in it, which had the company achieve their current result or success. By having nowadays success, HSH had become a successful manufacturing company because they consists of 35 years of experience and the motivation for continuous improvement in their job. HSH also had develop into a comprehensive manufacturer with using the advance technology for producing and excellent sales force of fuel and air filtration product.

By overseeing the annual production capacity of 10 million pieces of filter, out of 2000 pieces of product item is in different type and HSH is able to compete with their competitor to provide variety of filter based on the type of filter that the customer request for such as automotive and light commercial vehicles, heavy equipments, industrial equipments, trucks and buses.

HSH believes that quality is the important role for the company and hence, the product quality will be observe or measured carefully. The quality of the HSH product had been given advanced test by using the quality control method accordance with ISO 9001:2008 so that by having those certificate, the HSH product can be guarantee with stability of product quality. From pastime until today, by combining the production capacity and the rate of sales, it allows HSH to expand their sales network to abroad by estimating around more than 40 countries. While for domestic market, HSH is well known as a “one-stop” center with various type of product item, impressive service and product quality assurance.



1.2 Organization Structure


Next, I will describe about the structure of the Hawk Soon Hin Industries Sdn Bhd. In Hawk Soon Hin Industries Sdn Bhd, the entire department, from production advisors to customer service, go through intensive training to meet the strict quality standards. There are various departments in the service centre. First of all, Account Department which responsible for the accounts handling, the customer drafts of the booking engine fuel& oil filter, employees’ salaries, and records of transactions. The salaries are giving on their rank like the top management salaries are sent to their accounts while the lower level employees are been giving in the cash form for their salaries on the spot from the account department.

Secondly, there is a Production Department where all sorts of the filters are produce and been stored in the suitable places for the store department easy to allocate the product location and shipment the product.

Next is the Customer Service Department. This department is related to the external customers who come to Hawk Soon Hin Sdn Bhd for the purchasing parts, reservation of the engine filters, and also the customers that wants to change their spare parts. The customer service staff also must undergo strict training and must be a polite person because they are the people who play an important role in the company which maintain the relationship in between the customer and the company.

Besides that, there are also Human Resource department in the organization. This department which responsible for the company apparatus, article, employee wellbeing and the information of the entire company. Example like the invoice used paper, tissue paper, paper cup for customer to have their beverage, the beverage that ready for customer to enjoy while waiting and so on is all the responsible for the human resource department.



Apart from this, there is another department which is called IT department in the company. This department has been build from past years only and it is responsible for developing the system and database for the product and information in the organization. For example, when an company had too many product and customer to be handle, they can using the system to find and allocate the information towards the location that the company want to do so that the company can save more time from finding those information.

1.3 Nature of businesses
Believe that, every business has their own nature and of course Hawk Soon Hin Sdn Bhd also had. The nature of the company is actually depends on the company goal which by using their vision and mission to achieve the target they demanded.  While Hawk Soon Hin Sdn Bhd mission is to develop the best engine fuel filter to the consumer. Besides, they also develop a highly committed and capable workforce with strong safety awareness and offering the world class quality products and services that meet the customers’ needs in the most cost-efficient way. Their vision is to be the most successful and respected Engine Fuel Filter producer in Malaysia.
By the way, there are 5 core values (HSH, CS) that are guiding the Hawk Soon Hin Sdn Bhd to achieve the mission and vision of the company and I will be mention 3  among the 5 of it.
a )     Higher Quality Products
One of the most important core values is to increase the quality of products and by having this action, the company will be more easy to achieve the goal that they desire.
     b)      Superior Quality Services
Other than that, by having the superior quality services also is an important factor that can help the company to achieve the goal that they desire because of the services that they had made which can made the consumer satisfy.
     c)      Harmony Working
Besides of saying quality and services, the company also put a little effort on their working situation and they paying more attention on the harmony working environment so that the workers won’t have argument and they also can work in a happy environment also.

1.4 Products or Services
Hawk Soon Hin Sdn Bhd has provided variety of product and services in the centre. Briefly, the Hawk Soon Hin Sdn Bhd IT department provide the service for developing the database where the traditional information will be transfer into the database and from current onwards, the company will start to use the system no matter the data that are relevant to customer or product because the system will help to record all the transaction daily. While for the production line, the production department will produce various but not all types of vehicles spare parts and engine filter. Most of the popular brand like Toyota, Honda and BMW will take the engine filter and spare parts from our company but the famous brand like Ferrari, Bugatti Veyron and Lamborghini is not included in the package.

   Hawk Soon Hin Sdn Bhd also performs testing and provides warranty for their product that they sell to their customer.  Sales person will show customer the certificate for the quality standard of products and the customer will have the benefit of been warranted for the product that they bought. As the company is growing rapidly, their customer will coming from various places where the company need to ship their product to Kuala Lumpur and store the product at there so that the company can shipment all the product to their customer at a time without any trouble.





ACKNOWLEDGEMENT



First of all, the special thank goes to my helpful Manager, Mr. Ng Zhi Yong who accepted me as a member of their Office-Family and introduced me with whom I will be working for the next 20 weeks. I did not learn any professional insights, but I learned how to work in pressure, how to have patience in hurdles and how to behave with the colleagues. The supervision and support that they gave truly help the progression and smoothness of the internship program. The co-operation between us is very much indeed appreciated. 

Besides, this internship program makes me realise the value of working together as a team and as a new experience in working environment, which challenges us every minute. Not to forget, a great appreciation go to the rest of employees in the company that helped me from time to time during the progress of my internship. The internship program really brought me together with the rest of my colleagues to appreciate the true value of friendship and respect of each other.
